ADMINISTRATIVE ASSISTANT

QUALIFICATIONS:

  • As a church staff-person, the Administrative Assistant should be able to keep confidences;  be supportive of the church’s mission and goals, reflect the interests of the church, and provide support as a team player.

  • As the Administrative Assistant, desired skills include:  preparation/updating of a computer-generated database, calendar, documents, and web-site maintenance; imaginative and creative approaches to projects; strong self-motivation; ability to set and keep deadlines for projects.  Publications will include:  church newsletters, bulletins, and other special documents.

  • Prior to beginning the position, the Administrative Assistant will submit to a background check at FCC’s expense

 

RESPONSIBILITIES:

  • As Administrative Assistant to the Senior Minister: keep the minister(s) informed of births, deaths, sickness and other developments in the church family as reported to the church office.  The Senior Minister should be the first to know.  The Administrative Assistant records all births, deaths, baptisms, and membership transfers.

  • Relay messages, communicate background information, remind the minister of appointments and calendar events, make every effort to contact the minister(s) in times of emergency, and provide professional support as the Senior Minister leads the congregation and its programs.

  • Receive and announce all visitors to the Senior Minister during shared work hours.

  • Go to the bank each week to count offerings and receipts with one of the Financial Escorts elected by the church.

  • Maintain complete confidentiality as to the contributions and offerings received from the congregation and community.

  • Receive, disseminate and prepare mail.

  • Forward mail addressed to the Senior Minister or within his supervision.

  • Distribute mail to the church officers and committee chairpersons through the officer mail system.

  • Prepare outgoing communications from the Senior Minister, including copying, addressing, and preparing the actual document(s) when requested.

  • Organize the monthly church newsletter in cooperation with the Senior Minister.

  • The Senior Minister provides authorization and final approval of the newsletter as Editor in Chief.

  • Articles and information may be submitted by members of the congregation.

  • The Administrative Assistant shall coordinate volunteers to help prepare the final copies for mail as per guidelines of the U.S Postal Service.

  • The Administrative Assistant shall complete the on-line report processes in accordance with the USPS regulations.

  • Assist the Senior Minister in the preparation of the weekly Sunday bulletin.

  • Maintain the files in the church office as well as membership information as directed by the Senior Minister.

  • Log work hours each day.  Weekly timesheets will be verified by the Senior Minister.

TERMS:

Work hours for the Administrative Assistant will be determined in communication with the Senior Minister not to exceed twenty (20) hours per week.  With the Administrative Assistant determining which days and hours will be worked, any needed attendance of special meetings will be part of the scheduled hours for that week.

 

Salary: As set by the Church Board, commensurate with experience and training.

 

Paid Holidays: The following shall be considered paid holidays: New Year’s Day, Memorial Day, July 4th, Labor Day, Thanksgiving Day, and Christmas Day.  Paid holidays will commence when the probationary period is satisfied.

 

SELECTION PROCESS:

Applications will be reviewed by the Senior Minister and Personnel Committee and qualified candidates will be interviewed.  Selected applicants must submit to a background check at the expense of the Church.

FIRST CHRISTIAN CHURCH AUDIO / VISUAL INTERNSHIP

AVAILABILITY:

The A/V Intern is expected to be available Sunday mornings and/or Sunday evenings (some flexibility) as well as some special service times throughout the year. Projected 4-6 hours a week; during school year only.

 

SKILLS:

  • Knowledgeable of both Windows and Apple computers 

  • Familiar with ProPresenter (or experience with similar program) for displaying graphics during services, operate the live feed for YouTube channel

  • Video creation/editing when needed

  • Available for assisting with social media efforts 

  • Make use of our sound system and equipment

  • Video camera and accessories to provide the live feed and in-house productions of our services.

  • Familiarity with faith based organizations is a plus but not required

    Initial training for all equipment and ProPresenter software will be provided. Upon sufficient progress and demonstration of mastery of responsibilities, the A/V Intern will also assist in leading and training A/V volunteers.

TERMS:

The $500 internship is awarded for an academic semester provided the applicant remains enrolled and meets GPA requirements fall/spring semester.

 

SELECTION PROCESS:

The recipient is selected by the Technology Committee and Minister of the First Christian Church (Disciples of Christ) Macomb.
